Create custom fields |
In the customer and project properties, you can create custom fields that can be used for evaluation or purely for information purposes. |
Export/import data |
This basically concerns the visibility of the Export/Import option. |
Create data backup |
Data backups should only be created by one employee at regular intervals. |
Change print template |
Print templates should also only be created by one employee. |
Edit configuration |
The configuration is divided into the areas User, Advanced, System, and Additional Modules. With this right, you get the view for the "User" tab. |
Edit configuration "ADVANCED" |
This restricts you to the "Users" and "Advanced" tabs. |
Edit configuration "SYSTEM" |
This restricts you to the "Users" and "System" tabs. |
Anonymize employees |
If your company requires employees to be completely anonymized, you can use this right. This would be the case, for example, if the works council wants to ensure that time recording cannot be assigned to any employee. |
Prices visible |
This right allows you to control the visibility of prices. Both internal and external prices, price per unit. Without this right, no prices are visible in the entire system. |
Receive system messages |
System messages, such as update notifications. Only one person in the system should have this right. |
Allow update checks on the Internet |
The employee gets a "Check for updates" menu item in the project manager. |
Install updates on the network |
The employee also has the right to install updates on the company network. Only administrators with the necessary rights to update the table structure on a MySQL or MS-SQL server should have update rights. |
View all company application logs
|
You have access to the logs of the programs executed by all employees. |
View/delete application log
|
Every program you open and work with is recognized by Xpert-Timer and the time you spend on it is logged. |
View workgroup application log
|
You get access to the logs of the programs run by all employees in your workgroup. |

You can change the settings of the application log. |
View all company tasks |
You need this right if you want to be able to see all company tasks. |
Send task to another employee |
Assign a task to another employee for processing. |
Edit/delete other employees' tasks |
You need this right to edit, process, and delete the tasks of all other employees. |
Create/view/edit/delete tasks |
To view your own tasks, select from these self-explanatory rights. |
View tasks in the general task pool |
The general task pool contains tasks that have not been specifically assigned to any employee. Any employee can use them. |
Start tasks |
Start time tracking for a task. If you never book times on tasks, you should remove this permission to ensure that this does not happen accidentally. |
Create/edit/delete task categories |
Tasks are divided into task categories. This right allows you to create new task categories, edit them, and delete them. |
Open task management |
Task management is a cross-project view of tasks. All created tasks are listed here. |
Create/edit/delete task templates |
Task templates are task packages that serve as templates for projects. This means you don't have to create the same tasks for every project. However, to maintain an overview, you should designate employees who are allowed to create these packages or templates. |
Project manager sees all tasks of his project employees |
All tasks assigned to his project team members become visible to the project manager when this right is assigned. |
Change the text of the task status |
You can give the task status your own names. |
View evaluation |
This is the evaluation dialog without restrictions. |

If you want to make the dialog clearer and do not need some of the tabs displayed, you can restrict the view here. |
View evaluation Individual times (timestamp) |
You can view the "Individual times" tab in the evaluation dialog. |
Print evaluation |
This right allows the employee to print out the evaluations. |

This allows you to export the data displayed in the evaluation to .csv or Excel. |
View all company posting archives

If you need or are allowed to view all of the company's booking archives, you require this right. |

Here you can restrict access to the booking archive manager. |
View all company documents |
You have visibility rights for all company documents. |

You can attach documents to each project. |

Documents can be grouped together in document folders. |
Open document management
|
Sometimes, document management should only be carried out by certain individuals. Here you can restrict access to management. |

In the configuration, you can set the security level of the document and the permitted document changes. This is the "Document management" tab in the configuration. |
Project managers can see all documents for their projects |
Project managers need this right to be able to see all documents of their project team members. |

Invoice management provides a comprehensive overview of invoices. All invoices created are listed here. |
View all company entries |
All entries in the company's history should or may be visible to you. |
Edit/delete/view other employees' history |
Sometimes it is necessary to view your colleagues' entries in the activity history. This right displays a button for viewing the activities of all employees in the history. |
Display history |
This gives you the general right to display the activity history in your Xpert-Timer. |
Create/edit/delete history |
In addition, these rights allow you to create, edit, and/or delete new entries. |
Project manager sees all entries made by his project staff |
The project manager needs this right to be able to see all history entries of his project team members. |
View all customers of the company |
This right allows the employee to see all customers company-wide and across workgroups. Otherwise, only the customers in their workgroup are visible. |
Create/edit/delete contact |
This allows you to create, edit, or delete contacts. |
Display contacts |
This right controls the visibility of contacts. |
Display customers |
Customer management is visible, but only for customers who are assigned to the employee. |
Create/edit/delete customers |
Customers can be managed completely. |

Open customer management |
Customer management is included as a menu item in the project manager and can be opened. |
Project managers can see all customers of the projects under their responsibility |

Create/delete customer selection |
In customer management, customers can be grouped together into customer groups. Customers can be selected using the optional checkboxes next to the customer names and saved as a customer group. |

This right is required to display and select the saved customer groups. |
Display/edit/delete service templates |
You need this right to view the templates for project services. You also need it to edit and/or delete them. |
Create service template |
If you want to create a new template for a project service, you must also have the "Open service template management" right. |

This permission is required in order to edit a template. |
View all company employees |
This allows you to see all employees of the company. |
Create/display/edit/delete employees |
With this right, you can create, edit, and delete new employees who are to be created in Xpert-Timer. Please note that deactivating an employee also frees up a license slot. You should therefore only delete employees if you no longer want to assign their project times to the departed employee. |
Project managers can see all employees working on projects under their responsibility |
The project manager needs this right so that all employees of the projects under his responsibility are visible. |
Create/edit/delete/display rights group |
Access to Xpert-Timer is controlled via rights groups. |
View all company notes |
You need this right if you want to be able to see all company notes. |
Create/edit/delete notes |
Only with the "Show notes" option is it possible to create, edit, and/or delete them. |
Display notes |
Notes can be created for projects, customers, and tasks. Here you can control whether these are visible to employees. |
Create/edit/delete note category |
You have the right to create, edit, or delete note categories. |
Project manager sees all notes from his project employees |
This right allows the project manager to see all notes made by their project staff. |
View all price lists / price groups of the company |
You may or should see all price lists/price groups of the company. |
Create/edit/delete price list/price group |
With this right, you can create, edit, or delete price lists and price groups. |

Here you can control the visibility of price lists/price groups for employees. |
View all company projects |
If you are allowed or required to view all projects in the company, you need this right. This gives you the "All projects" and "Project manager" tabs in your project manager in addition to the "Assigned projects" tab. If you work with workgroups, the "Workgroup" tab is also added. |
Display totals for team projects |
The total amount for team projects is displayed in the project manager. If you remove this right, the display option for the "Time required (team)" column is no longer available. |
Create project (general) |
With this right, you can create all types of projects. |
Create project (main project) |
If you do not have the "Create project (general)" right, but you do have this right, you can only create main projects. |
Create project (subproject) |
If you do not have the "Create project (general)" right, but you do have this right, you can only create subprojects. |
View/edit/delete project |
To view and edit the project properties of a project and to delete a project, you need these three rights. |
Start project |
In some cases, a project is never started. For example, if Xpert-Timer is only used as an administration tool. This right allows you to disable automatic time tracking if necessary. |
Assign project to employee |
If several employees are planned for a project, they must be assigned to the project. Only the assigned employees will see the corresponding project in their Project Manager. |
Delete other employees' projects |
This also allows you to delete projects that you did not create yourself. |
Archive projects |
If a project is complete and should no longer appear in the project manager, it should be archived. In some companies, this should only be done by certain people. |
Start projects retroactively |
This allows you to start projects retroactively. For example, you forgot to switch a project and only noticed this after 10 minutes. You can then start the next project retroactively by pressing the CTRL key. |
Change project progress |
Some companies want employees to enter project progress manually. You can only do this with this right. |
Project manager sees all projects under his responsibility |
This allows the project manager to see all projects for which he is responsible. |
Print project list |
This refers to printing a project list |
Open project manager |
This right allows you to restrict access to the project manager. |
Send project reports by email
|
You can also send these project lists by email if required. Remove this right if you do not use the email function. This will prevent the corresponding buttons from appearing in the program, making it clearer. |
Change project status
|
This refers to the statuses: Active, Completed, Billed, etc. Employees who complete or bill projects should have this right. |
Assign project managers
|
A project manager should be assigned to the project team. This way, you know immediately who to contact if you have any questions. With this right, you can assign this project manager. |
View project time estimate
|
For each project, you can estimate the expected working hours for the project. With this right, you can fill in the "Estimated hours" field in the project properties. |
Change project status text
|
In the configuration, you can name the user-defined statuses of the projects. You need this right to make changes there. |
View all company services |
If you want to see all of the company's services, you need this right. |
Workgroup leaders can see all services of their workgroup projects across workgroups |
If one of your employees from your workgroup works in another workgroup within the company, you will have access to their services that were created in the other workgroup. |
Create/edit/delete service category |
You can create, edit, and delete service categories. |
Open service management |
Performance management provides an overview of all project performance related to projects. |
Create/edit/delete project services |
This right refers to the creation, editing, and deletion of these services. |
Display project services |
You need this right to see the project service options in the program. |
Project manager sees all services of his project staff |
Assign this right to the project manager so that they can see all services of their project team members. |
Create/edit/delete project types |
Project types are the small graphics that you see in the project manager next to the project name when a project type has been assigned. With this right, you can create, edit, or delete new project types in the configuration. |
View all company synchronizations |
This right allows you to access the list of synchronization runs for the entire company. You can find the list in employee management. |
May synchronize via a database connection |
You can only synchronize your data if you are directly connected to the central database via LAN or WLAN. |
May synchronize via an XTSyncServer connection |
You can only synchronize your data if Xpert-Timer connects to the central database via the XTSync server. |
May synchronize via PC |
You need this right if you use a PC for synchronization. |
May synchronize via smartphone (Android) |
You need this right if you use an Android smartphone/tablet for synchronization. |
View synchronization accounts |
The user management section contains an overview of synchronization accounts. This permission controls access to it. |
Create/edit/delete synchronization account |
This controls access to the configuration of synchronization accounts. |
Create/edit/delete activity |
This right allows you to create, edit, and delete new activities. |
View activity |
This gives you the right to view all activities. |
Create/edit/delete text module |
Text modules can be used in almost all text fields in Xpert-Timer. Manage these text modules here. |
Display text modules |
This right is essential for the other rights relating to text modules to take effect. |
View all company times |
This allows you to see all times recorded in the Xpert-Timer system, including those of your colleagues. |
Allow change of billing status |
A timestamp can, for example, be given the billing status "do not bill." |
Workgroup leaders can see all times for their workgroup projects across workgroups |
If one of your employees from your workgroup works in another workgroup within the company, you will have access to the times they have recorded in the other workgroup. |
Project managers can see all the times of their project employees |
