Outlook / Thunderbird and tasks  

You can import emails from Outlook and Thunderbird into your Xpert-Timer. The messages are saved as .msg files in the document management system. If you import them via the task list, your emails are created as tasks in Xpert-Timer and saved in the document management system at the same time.

 

You can also conveniently drag and drop tasks from your Outlook program into the Xpert-Timer task list. This allows you to import the task quickly and easily. (See manual entry below)

 

To do this, right-click on one of the buttons to display the "Tasks to Outlook" and "Tasks from Outlook" buttons.

 

In this dialog, you can now select a specific Outlook folder using the "Outlook" button.

 

 

All emails from the selected folder will be loaded. In the next step, you can then choose exactly which ones you want to transfer to your Xpert-Timer. Make sure you have selected the correct project for which tasks are to be created.

By checking the box next to individual emails, you can select specific emails for import. If you have a lot of emails, it is best to narrow down your search using the date field.

 

 

As soon as you click on "Import," your emails will be written to the Xpert-Timer database.

 

Confirm the message with "Yes." This will import the data.

 

 

Your imported emails are now visible in your task list.

Import via drag & drop

Another way to import an email into the task list is to drag and drop it into the Xpert-Timer task list. After dragging and dropping, select the project for which the Outlook email should be converted into a task.

In the next step, you will see the "Create new task" details again, with the information from the email. Fill in the additional information and save the new task.

Please note that the email text cannot be transferred to the text area of the task. The email is saved as an attachment to the task. The subject of the email is transferred to the subject of the task.

Automatically sending created tasks to Outlook

In the configuration, you will find a checkbox for "Send task to Outlook when saving." You should use this function if you want to export almost all tasks to Outlook.

If you only want to send individual tasks to Outlook, do not use this option. When you save the task, you will be asked if you want to export the task you just created to Outlook. Now you can decide how to proceed.
